Who runs this service

The pilot operator has yet to publish its legal details. New customer accounts and identified team enquiries are closed. You can explore either practice workspace.

Practice workspaces

Practice uses fictional identities, example coaches and example credits. Each visitor gets a separate workspace. Use fictional details in any form. Practice access lasts 24 hours. The cleanup job removes expired workspaces. You can erase yours sooner from your account.

Quiz and waitlist

The quiz stores your selected answers and result. An essential cookie connects the result to your browser for seven days. A waitlist entry records your email, answers and choice about marketing. Joining the list is optional. We remove quiz and waitlist records after 24 months.

Coaching and team accounts

Account details, membership, bookings and credit records support coaching delivery. Session cookies identify your signed-in browser. The application stores security events to protect accounts. Private coaching records stay in the UK application database.

Your coach can write session notes after you give consent. You can withdraw that consent from the session. Your team administrator can see seats and group reports. Private notes, messages and individual ratings stay outside those reports.

Feedback and coaching requests

You choose a fixed group of five to twelve peers for feedback. You receive broad score bands after every peer responds. Each peer can see their own answers. Your manager’s named response is visible to you and its author. Team administrators cannot read these answers.

A coaching request is visible to the member, the authorised requester and team administrators. Keep its objective focused on work. Leave out health details. Feedback and coaching requests have a 24-month retention period. Your account export includes your own feedback and requests.

Calendar files

The optional calendar check reads a file on your device. The file and its events stay in your browser. Rhubarb receives your chosen booking time.

Private resources

Your assigned coach can share links and files with you. Team administrators cannot read this space. Files stay in the UK database. The private scanner checks uploads before storage. It never sends your file to an external scanning service.

Comments need your separate consent. You can withdraw consent to delete all comments in the space. Resources expire 24 months after the coaching assignment ends. Your account export includes resource details. You can download each retained file separately.

Workshop feedback

After a workshop, its administrator can invite the confirmed attendees to give feedback. You choose whether to share three scores and a topic choice. We do not collect written comments. Administrators receive a fixed group summary after the 14-day response period. A summary needs at least five eligible responses.

You can download or withdraw your own answers from your account, even after you leave the team. Withdrawal removes your private answers. An already published group summary stays unchanged. Private answers expire 24 months after the response period ends.

Payment and video

When payments open, Stripe handles checkout and invoice documents. Card details go directly to Stripe. When a session uses video, the selected meeting service receives the information needed for that call. Rhubarb does not record calls.

Access and deletion

Open your account to download your data or request deletion. Finance and organisation owners review requests that affect invoices or active memberships. Encrypted database backups use EU-restricted storage. Backup jobs apply a 30-day retention policy. An erasure journal protects completed deletions during recovery. You can raise a concern with the UK Information Commissioner.

Minimal consent records remain while consent is active and for five years after it ends. They record the choice and its date. They contain no notes, messages or feedback answers. Security event records expire after 90 days. Invoice records expire after ten years unless an active contract, dispute or legal hold requires them.
